This page sums up all the important information that you need to know before going abroad on student exchange during your studies at Tampere University. Please go through the checklist below. Remember to notify the coordinator of your exchange programme at the <a href="https://intra.tuni.fi/en/node/60523">International Mobility Services</a> of any changes in your plans!&nbsp;

<ul><li>You should first find out whether your host university will provide you with or help you find accommodation. In some cases (such as bilateral, ISEP, north2north,exchanges and some other exchange programmes), the host university may allocate rooms to incoming students or help them find housing, but usually it will be up to you to find accommodation. The reports written by our former exchange students are a good source of information about housing options. You can also contact your host university directly to inquire about housing.</li><li>Make sure you have some money set aside for a possible housing deposit. You should also inquire in advance about the facilities and equipment available in your accommodation and find out whether you will need an adapter for the power outlets used in your destination country.</li><li>You can sublet your flat in Finland for the duration of your exchange period, for example, to an incoming exchange student. If you live in a TOAS apartment, check their <a href="https://toas.fi/en/">website</a> for subletting instructions. If your apartment is privately owned, you can, if you wish, rent it out through <a href="https://flatta.fi/">Flatta</a> to an exchange student coming to Finland during your own exchange period.</li></ul>

Student housing

Research your destination and host university

<ul>
	<li>Remember to register as attending or non-attending at Tampere University during your exchange period. Consider which option will work for you while you are studying abroad. When you register as attending, you will be required to pay the student union membership fee to TREY and will receive your annual registration sticker, which validates your student card and demonstrates that you are eligible for student discounts (such as discounts on travel tickets) and have access to services provided by the Finnish Student Health Service (FSHS). Only students who are registered as attending are able to complete courses at Tampere University and have them counted towards their degree. However, you are able to register for courses even when you are non-attending (for example, for courses in the next period of your exchange). You can also register as attending or non-attending for a single semester.</li>
	<li>You will be able to access your Tampere University email account while studying abroad, so remember to check your student email on a regular basis.</li>
</ul>

Registering as a student at Tampere University

Documents related to going abroad can be found from your Mobility-Online account. You will receive an email when the documents are available in Mobility-Online, please read the instructions carefully.

<ul>
	<li>
	The certificate of student exchange can be downloaded from the system under Before Mobility: Certificate of student exchange printed / Print certificate of student exchange. The certificate can be used as needed in situations where you need to prove that you have been selected for a student exchange (for example, when applying for grants).
	</li>
	<li>You will be expected to prepare a preliminary personal study plan (PSP) when you seek admission to your host university and apply for a travel grant. Your preliminary study plan must include at least 30 ECTS credits per semester. When drawing up your preliminary study plan, you should consult with the education specialist of your degree programme, the teacher responsible for your personal study plan or other teaching staff to inquire about possible course substitutions.</li>
	<li>The basic principle of Erasmus+, bilateral student exchange programmes and other exchange programmes administered by Tampere University is that courses completed at a host university will be counted in full towards degrees conferred by Tampere University. To reap the maximum benefit from your exchange experience, you should select courses that will provide you with important new knowledge and skills and complement your degree. If you are participating in a bilateral exchange programme, ISEP, QSEP or north2north, you will not be required to have your preliminary PSP signed by a representative of your faculty at Tampere University or your host university. Please be prepared to revise your preliminary PSP after you arrive at your host university.</li>
	<li>If you are leaving on Erasmus+ mobility period, remember to fill out your Learning Agreement. The learning agreement is created in Mobility-Online and all the parties will sign it digitally through the EWP (Erasmus without paper) interface. You can find more detailed information about how to create learning agreement in Mobility-Online under the section Mobility-Online. 
	Please note that after you return to Tampere University, an identical set of courses must be listed in your Learning Agreement and in the official transcript of records issued by your host university. You may have to revise your Learning Agreement at the beginning of your exchange period when you are able to confirm the courses that you will complete at your host university. Fill in the changes to the learning agreement in Mobility-Online (During mobility &gt; Make changes to the learning agreement and sign).</li>
	<li>Before you set off to your host university, remember to fill out a grant questionnaire, which is required for making the grant agreement and paying your exchange grant. We will inform all our outgoing exchange students by email when the grant questionnaire is available in Mobility-Online. You will also receive an email as soon as your grant has been calculated and your grant agreement is ready. Please read through the agreement carefully. The agreement needs to be signed electronically in Mobility-Online. After the document has been signed, the first installment of your travel grant can be paid.</li>
	<li>By signing the grant agreement, you confirm that you are committed to studying on a full-time basis during your exchange period. This means that you agree to adhere to your preliminary personal study plan as closely as possible. In ECTS, 60 credits represent a full workload for one academic year (30 ECTS credits per semester).You may only use your travel grant to cover travel, insurance, accommodation, living and study-related costs that you incur while on exchange.</li>
</ul>

Learning agreement and other documents

<ul>
	<li><a href="https://www.isic.fi/en/">The International Student Identity Card (ISIC)</a> offers you discounts, benefits and special rates on flights. In Finland, Kilroy offers student flights for ISIC cardholders. Before your obtain the card, check first whether ISIC discounts will be available in your destination.</li>
	<li>Europass is an international tool that allows you to make your skills and qualifications clearly and easily understood in Europe. It is made up of five documents that are identical in all EU/EEA countries. You can fill out your <a href="https://europass.cedefop.europa.eu/documents/curriculum-vitae">Europass Curriculum Vitae</a> and Language Passport and supplement them with other Europass documents of your choice. You can fill out the CV and Language Passport online or download the forms on your computer. Before you assess your language skills, consult the <a href="https://europass.cedefop.europa.eu/resources/european-language-levels-cefr">self-assessment grid of European language levels</a>. ISIC and Europass documents

Should you need an English language certification for your student exchange, please send your request to opintotoimisto.tau [at] tuni.fi (opintotoimisto[dot]tau[at]tuni[dot]fi). Please send your request in due time since the processing of the document might take some time. English language certification is given only to students of Tampere University registered as attending and only for the purposes of student exchange or traineeship if such document is required by the hosting university or employer. 

Your language skills will not be separately assessed, as the certificate will be based on the language courses that you have completed at Tampere University. Certificates may be provided to verify that you have successfully completed foreign language courses that are or have been included in the Language Centre’s curriculum. You will receive the requested certificate by email 

In need of certification of another language than English, please contact <a href="https://www.tuni.fi/en/about-us/language-centre">The Language Centre</a> of Tampere University. Language Centre will issue you with a certificate of the language courses that you have completed at Tampere University. If you have not completed any language courses at Tampere University but are expected to provide a language certificate to your host institution (exchange or traineeship), please contact kielikeskus.tau [at] tuni.fi (kielikeskus[dot]tau[at]tuni[dot]fi) and title your message with following key words: International student exchange/traineeship + language in question.

Language certificates

Tampere University offers students a broad range of opportunities to broaden their language skills and learn new languages. Although English is most commonly used for international communication, being able to speak multiple languages is a great asset. We encourage all our students to select language courses as their electives. 
 
When preparing for your exchange period, it is important to develop your language skills. In many EU countries, the language of instruction is the official language of the country. If you are proficient in multiple languages, you will have more opportunities to seek international exposure. Learning a new language takes time and effort but opens doors to new countries and cultures.

<h3>OLS language tests and courses</h3>

The Online Language Support (OLS) is offered by the European Commission and it is designed to help Erasmus+ participants improve their knowledge of the language in which they will study or work abroad so that they can make the most out of this experience. The purpose of the language test is to provide you with information about the level of your language skills and to measure the development of your language skills during your time abroad. You can follow language courses in any of the available languages on OLS without limitation to the number of languages and study units. You also have the opportunity to follow online language courses after your exchange study period.

At the moment the OLS language test is available for the following languages:

Europass has been developed to facilitate mobility and increase the transparency of qualifications. It offers students and job seekers a set of documents that allow them to clearly demonstrate their skills. Identical Europass documents are used in all EU/EEA countries. Development of language skills and proofreading & editing services

<ul>
	<li>Submit a notification of your change of address to the&nbsp;Digital and Population Data Services Agency and the Finnish postal service Posti. You can submit this notification either <a href="https://www.posti.fi/en/private/delivery-and-change-of-address">electronically through Posti’s online system</a> or by filling out a paper form that you can collect from any post office. Remember to notify the register office and Posti of your return to Finland after your exchange period ends!</li>
	<li>The Ministry for Foreign Affairs of Finland recommends citizens to file a travel notification before travelling abroad. This notification will enable Finnish authorities to contact you in the event of an emergency. You can submit a travel notification through the<a href="https://matkustusilmoitus.fi/public_html?command=browse&amp;lang=en"> Ministry’s online system</a>.</li>
	<li>You should always submit a notification to Kela if you will be living abroad even on a temporary basis. You can submit the notification via <a href="https://www.kela.fi/web/en/from-finland-to-another-country">Kela’s website.</a></li>
</ul>

Moving abroad and travel notifications

<ul><li>Remember to make sure that your passport will remain valid for the duration of your time abroad. Many countries require a traveller’s passport to remain valid for a further three months (or even six months) from the date of exit.</li><li>If your destination is an EU country, you will need to register your stay if the length of your exchange period exceeds 3 months. If your destination is outside of Europe, you must apply for the required visa/residence permit from the embassy or consulate of your destination country. For more instructions, please consult the website of the relevant embassy or consulate. <a href="https://um.fi/representation-of-foreign-states-in-finland-or-in-the-nearest-country-to-finland">Representation of foreign states in Finland</a> (Ministry for Foreign Affairs of Finland). It may take a couple of months for you to receive the permit, so you should apply well in advance!</li><li>Take copies of your passport and visa/residence permit and store the copies away from the originals. If you happen to lose, for example, your passport, having a copy will be helpful when you contact the relevant authorities.</li></ul><h4>Additional information on some countries residence permits and visas</h4><ul><li>Australia: Coming soon.</li><li>Canada: Students, and Finnish citizens, selected for exchange to Canada must have a passport valid for the entire duration of their stay. For exchanges shorter than six months, students must apply in advance for an Electronic Travel Authorization (eTA) via the official website. The eTA is electronically linked to your passport and is valid for five years or until the passport expires. The fee is 7 CAD (2025), and you should print the confirmation and bring it with you when traveling. More information and the application form are available at: <a href="https://www.canada.ca/en/immigration-refugees-citizenship/services/visit-canada/eta.html" target="_blank" rel="noopener">Electronic Travel Authorization (eTA)</a>. If the exchange lasts longer than six months, students must apply for a Study Permit once their placement is confirmed. More information: <a href="https://www.canada.ca/en/immigration-refugees-citizenship/services/study-canada/study-permit.html">Study permit: about the process</a>.</li><li>South Africa: To apply for a South African Study Permit (for stays over 3 months), students must complete the <a href="https://www.vfsglobal.com/one-pager/southafrica/Angola/Portuguese/pdf/SA-Application-Form.pdf" target="_blank" rel="noopener">DHA-1738</a> form and submit several supporting documents. These include the acceptance letter from the host university, proof of residence (e.g. university dormitory confirmation), a possible Finnish travel insurance policy, and a mandatory South African health insurance policy*. Other required documents include a criminal record extract (no older than 6 months), a medical form signed by a doctor and a chest X-ray report (forms BI-811 and BI-806), a valid passport, two recent color passport photos, <a href="https://dvv.fi/en/birth-certificate" target="_blank" rel="noopener">a birth certificate</a>, and a fairly extensive financial statement. This may include three months of bank statements in English or Swedish, certificates of grants or student financial aid from Kela, university travel grant documentation, and any other proof of sufficient funds. You must also provide flight reservations for both departure and return, possibly a bilateral exchange agreement between universities, and a receipt for the mandatory visa application fee (approx. 30 € in 2023). We recommend preparing the necessary documents well in advance, even before final acceptance from the host university, and confirming the visa process and timeline directly with the <a href="https://dirco.gov.za/sweden/" target="_blank">South African Embassy in Stockholm</a>. The passport, application form, and required documents may be sent by registered mail (or DHL Express courier) to the embassy in Stockholm for processing, although an in-person visit may also be required. Processing time is approximately 6–8 weeks. Applications can be submitted no earlier than three months before departure, and the departure date must match the flight reservation - not the semester start date. You must have both outbound and return flights booked when submitting the Study Permit application. Note: Health checks and chest X-rays are not covered by public healthcare or FSHS (unless the exchange is a mandatory part of your studies), so they must be arranged privately. *Recommended health insurance providers: <a href="https://studentplan.co.za/" target="_blank" rel="noopener">Compcare Wellness (Networx)</a> and <a href="https://www.ingwehealth.co.za/" target="_blank" rel="noopener">Momentum Medical Aid (Ingwe)</a></li><li>Tanzania: The Tanzanian Student Visa is applied for online via the <a href="https://visa.immigration.go.tz/" target="_blank" rel="noopener">Tanzania’s Electronic Visa Application System</a> (Stockholm Embassy). The visa is granted either for three months (50 USD) or for a full year (250 USD). Since the Tanzanian semester typically lasts 4–5 months, students should apply for the one-year visa. The visa is usually issued very quickly, although officially it may take 7–12 days.</li><li>United Kingdom: For exchanges lasting less than six months, a <a href="https://www.gov.uk/check-uk-visa/y/finland/study/six_months_or_less" target="_blank">visa is not required for Finnish citizens</a>, but an ETA travel authorization is mandatory. If the exchange lasts longer than six months, a visa is required. It is recommended to allow at least 11 weeks for the visa application process. More information is available on the UK government’s website: <a href="https://www.gov.uk/apply-to-come-to-the-uk" target="_blank">How to apply for a visa to come to the UK.</a></li><li>United States: Before applying for a U.S. visa, students must receive acceptance from the host university and obtain the <a href="https://j1visa.state.gov/participants/how-to-apply/about-ds-2019/" target="_blank" rel="noopener">DS-2019 form</a>. Once the placement is confirmed, the host university or ISEP programme will send the necessary documents and SEVIS information for the visa application. The J-1 Exchange Visitor Visa application process for exchange students (and Finnish citizens) includes several steps: completing the electronic DS-160 form, paying the MRV visa fee and SEVIS fee, booking a visa interview appointment, and attending the interview at the U.S. Embassy in Helsinki (or, in exceptional cases, in another country such as Estonia). Note that your passport will remain at the embassy during processing, and the visa is typically issued within about a week after the interview. In some cases, documents may need to be mailed to the embassy if an interview is not conducted. Applicants must now also provide a list of social media platforms they have used in the past five years. This includes common platforms such as Instagram, Facebook, TikTok, LinkedIn, etc. The information is used for background checks, but passwords and private messages are not requested. Students may enter the U.S. up to 30 days before the visa start date, which usually matches the start date listed on the DS-2019 form. After the exchange ends, students may remain in the country for an additional 30 days without a separate permit, known as the Travel Grace Period. Passport, residence permit and visa

<ul>
	<li>You may remain eligible for student financial aid when you are studying abroad if the courses you will complete abroad are equivalent to your studies at Tampere University (for which you receive student financial aid) or are counted towards your degree at Tampere University. Please ensure in advance that the studies you are planning to complete in your host university can be counted towards your Tampere University degree. Please note that you must meet the same minimum credit requirements to remain eligible for student financial aid during an international internship/exchange period as during your regular studies at Tampere University, meaning that you must earn at least 5 credits on each month when you receive student financial aid in a single academic year (from 1 August to 31 July).&nbsp; &nbsp;</li>
	<li>If you are eligible for student financial aid, you can apply for the aid to continue throughout your study abroad period through <a href="https://www.kela.fi/web/en/e-services">Kela’s e-Services</a>.</li>
	<li>Student financial aid may only be paid to a Finnish bank account. Contact your bank to find out more about international money transfers and the required details (such as your bank’s SWIFT and BIC codes). You may want to select direct debit as the payment option for any invoices you receive in Finland.</li>
	<li>Write down your debit and credit card numbers and keep them safe (not in your wallet in case you lose it).</li>

Funding for student exchange

<ul><li>The Finnish Student Health Service (FSHS) provides information and advice about health while travelling. Visit the <a href="https://www.yths.fi/en/traveladvice">FSHS website</a> to learn more.</li><li>If you are going on exchange outside of Europe and your host university requires you to provide a health certificate, then FSHS or Pirha do not offer that service but the certificate must be obtained elsewhere, for example from a private clinic.</li><li>You can also visit a website that offers <a href="https://www.choosehealthcare.fi/health-services-abroad/country-specific-information-about-health-services/">country-specific information about health services</a>.</li><li>If your destination is in Europe, apply for <a href="https://www.kela.fi/web/en/european-health-insurance-card?inheritRedirect=true">the European Health Insurance Card (EHIC)</a> from Kela. EHIC is available free of charge and entitles you to state-provided medical treatment that may become necessary while you are travelling in EU/EEA countries or Switzerland.&nbsp; Healthcare systems vary between countries; EHIC entitles you to receive treatment at the same cost as native residents.</li><li>Before you travel, stock up on necessary prescription medications and find out in advance how to refill your prescription in your destination, if necessary. Remember to take all your prescriptions with you. You should also carry an emergency first aid kit when you travel.</li><li>Check well in advance whether you are up to date with your vaccinations before travelling. Some vaccines need to be given ahead of time to allow your body to develop immunity, so you must plan ahead to get the shots that are required for your destination.</li></ul>

Healthcare and vaccinations

<ul><li>Contact your insurance company to check your coverage. We recommend all outgoing students to obtain insurance (including luggage, travel liability and legal expenses insurance), even if they will be covered by a local health insurance plan. Our students are not covered by Tampere University’s insurance policy while they are studying abroad.</li><li>Health insurance (at least the European Health Insurance Card EHIC) is obligatory for students who go on Erasmus+ mobility period. Students' also need to take out private health insurance, because EHIC does not cover them for every eventuality. For example, EHIC will not cover the costs of all medical care or the costs of medical repatriation from any destination.</li><li>Some North American universities may require a mandatory health insurance from exchange students, which may cost up to 1100 USD per semester.</li></ul>

Insurance

A couple of months after you have been selected for student exchange, your student workflow in Mobility-Online shows the necessary steps to be completed next. You will receive an email when you can start to complete the required steps. Login to <a href="https://www.%E2%80%8Bservice4mobility.%E2%80%8Bcom/europe/SOPCheckOIOSAMLServlet?identifier=TAMPERE17&amp;is_sso=1&amp;sprache=en">Mobility-Online</a> with your TUNI user account.<ul><li>Please follow the links on the right-hand side to complete the steps.</li></ul>Always use ”Click to update” to update your information. "Back" returns you back to your student workflow.<ul><li>Confirm liability waiver. The purpose of this form is to give information and to clarify the personal responsibilities and liabilities as an outgoing mobile student of Tampere University.</li><li dir="ltr">You can print a certificate of student exchange if needed.</li><li>Fill in the Bank Details.</li><li>If you have been selected for an Erasmus+ mobility period, please choose the teaching language in the host university.​</li><li>Fill in the grant questionnaire, which is required for making the grant agreement and paying your exchange grant. If you would like to apply for fewer opportunities top up, inclusion and/or green travel grant, please indicate it in the grant questionnaire. If you are applying for inclusion grant, contact us also at mobility.tau [at] tuni.fi for more information.</li><li>Create the draft study plan/learning agreement in Mobility-Online. You should fill in the learning agreement only after you have received application information from your host university.</li><li>Students who receive an Erasmus+ grant are required to create their learning agreement digitally. The learning agreement is created in Mobility-Online, and all the parties will sign it digitally through the EWP (Erasmus without paper) interface. </li><li>How to create the learning agreement (for Erasmus+ students)<ul><li>Click on "Enter further courses" to enter information on each course you are planning to take.</li><li>You should add both the home and the host universities details of the course: credits, name of the course etc. If the course is an optional course at Tampere University, you can name it as optional/elective course.</li><li>Save the course information by clicking on "Save". You can edit the course information from the Update record icon (the form icon) next to the course title. You can delete courses by clicking on the Delete record icon (the recycle bin icon) next to the course title.</li><li>You can add a new course by clicking ”Close” and ”Enter further courses…” etc.</li></ul></li><li>After your learning agreement is complete, remember to sign it by clicking Final check before signing and Sign and transfer. You should add a minimum of 30 credits per semester.</li><li>The learning agreement needs to be completed and signed before the start of your mobility period.</li></ul>Please note! Tampere University will not automatically accept the credits you earn at your host university and they will not automatically appear in your academic record. All the academic credits can be counted towards your degree, but you need to apply for the recognition of the credits via the student information system Sisu.After you have signed your learning agreement, it will be checked and signed by Tampere University (or you will be asked to update it). When the learning agreement has been signed by Tampere University, it will be transferred electronically to your host university. You can see in your Mobility-Online workflow when all the parties have signed the learning agreement. There are still some technical problems in signing the digital learning agreements through the EWP interface. If you need the learning agreement as an attachment to your application to the host university, you can download the prefilled Learning agreement by clicking on the link "Download Learning Agreement" and ask it to be signed by email.<ul><li>You will receive an email as soon as your grant has been calculated and your grant agreement is ready. Please print the agreement and read through it carefully. You need to sign the grant agreement digitally in Mobility-Online. After signing, the first installment of your grant can be paid.</li></ul>
